JOB OVERVIEW

As a Conveyancing Legal Assistant, you will be a trusted advisor and expected to support proactively and effectively within the business/firm.

To be successful in this role, you will be expected to understand the business, and demonstrate a high level of business acumen and exceptional organisational skills which will contribute to seamless day-to-day operations.

DUTIES AND RESPONSIBILITIES

Main Tasks
• Creating PEXA workspace – end-to-end
• Opening files
• Ordering searches
• Preparation of Duties online form
• Preparation of draft figures 1 week in advance
• Final figures preparation
• Following up with clients for instructions
• Booking in settlements with all parties
• Ordering SettleIT
• Preparation of OSR
• GST form 1 and 2 preparation and lodgement
• After settlement letters and sending out BCCM forms and Notice of Acquisition
• Coordinate travel and accommodation requirements if needed
• Office Coordination, general office support, and other business matters when required

Account Management
• Be professional/courteous/polite on all communications
• Raise emerging issues, concerns, or areas of opportunity that affect clients’ experience and/or the effectivity and efficiency of processes
• Maintain a high level of quality and efficiency on all tasks managed by observing best practice and utilizing available tools
• Ensure attendance, participation, and cooperation during knowledge transfer sessions and other meetings
• Represent hammerjack and brands in a professional manner

QUALIFICATIONS

Education
• Should be a graduate of a 4-year course
• An advanced diploma in Conveyancing is very advantageous

Product Knowledge

• Amenable to a hybrid work setup
• Proven working experience as a Legal or Conveyancing Assistant of 4-5 years and beyond
• Proficiency in English is a must
• Familiarity with legal procedures and protocols
• Satisfactory knowledge of the day-to-day operations of a legal office
• General admin assistance experience with medium-sized businesses
• Ability to juggle multiple activities and work under pressure

System and Application Knowledge

• End-to-end working knowledge of the PEXA and LEAP software is a must
• Knowledge with Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint
• Ability to learn new systems and tools as needed

• Ensures quality of work being delivered without being supervised
